Culham Innovation Operations Manager
Reporting to: Director of Innovation Centre Operations
Overall Responsibilities:
- Ensure the efficient operation of the Centre
- Lead a team of Centre staff
- Provision of effective services to Centre clients
- Ensuring that Oxford Innovation’s reputation is maintained and enhanced
Main Duties and Responsibilities
Effective Operation of the Centre, including:
- Ensuring that building is open and staffed during office hours
- Ensuring that the Centre is operated in compliance with current Oxford Innovation Quality, Financial, Health and Safety, Commercial, Property and other policies, and standard procedures are followed in the Centre, to the satisfaction of the Director
- Arranging timely and cost effective repairs and maintenance to the Centre
- Ensuring an appropriate level of building security is maintained
- Liaising with, and ensuring a continued good relationship with UKAEA (the landlord)
- Ensuring that the common areas are kept clean and tidy
- Managing the Centre telephone services ensuring coverage during office hours
- Ensuring that Centre Regulations are observed
- Purchasing for and equipping of Centre, authorised by the Director
- Acting as point of contact for the Innovation Centre
- Any other tasks to ensure smooth running of the Centre
Developing and providing services to Clients, including:
- Photocopying, fax and mail distribution and collection
- Procurement of office consumables and cleaning for clients
- Running centre conference and meeting rooms, including booking, lay-out and refreshments
- Provision of secretarial support for clients
- Development of service enhancements and additions
- Maintaining an awareness of Oxford Innovation’s range of services, projects and expertise and appropriately promoting to partners and clients
- Maintaining an awareness and interest in the Centre clients business performance and problems and signposting to help
Ensuring that the Centre is operated in an effective commercial manner
- To operate according to a pricing policy agreed with the Director
- To operate the centre safely, efficiently, and cost-effectively according to budgets
- Co-operating with the Director of Innovation Centre Operations, Director of Innovation Centre Marketing and Finance Department:
- Maintain local accounting record system to OI standards, ensuring accurate records are kept of charges for services provided or supplied, invoicing, petty cash, tenants agreements, renewal dates and other relevant information to ensure accurate and timely accounting
- Invoice clients for licence fees and other services
- Collect and receipt tenant and other customer payments
- Timely debt recovery
- Within limits of authority, agree provision of services to the Centre and ensure suppliers’ invoices are accurate and paid in a timely manner
Supervise Staff
- Operate in accordance with current OI human resource policies and in liaison with the Director and Head of Personnel
- Ensure that Centre staff carry out their duties effectively
- Ensure accurate recording of Centre staff timesheets and holidays
- Liaise with personnel manager on any staff related issues
- Recruit Centre staff
- Implement Oxford Innovation performance appraisal and salary review procedures
Authorities
- Able to arrange and sign tenant license within terms of lettings policy
- Able to purchase supplies and services in accordance with financial policies
